General Summary:

Reports to the President (the Board of Directors)

The Administrative Assistant to the Board of Directors plays a vital role in supporting the GHRA Board’s operations and communication. This position ensures that the Board functions efficiently, complies with cooperative governance best practices, and is well-coordinated with GHRA’s executive leadership. The ideal candidate is organized, discreet, and committed to the mission and values of the cooperative.

Primary Responsibility:

  • Meeting Coordination: Schedule and organize board meetings, annual general meetings, and committee meetings, ensuring alignment with GHRA’s calendar and bylaws.
  • Documentation & Record Keeping: Prepare agendas, compile board packets, take detailed meeting minutes, and maintain accurate records of board actions and decisions.
  • Communication & Liaison: Serve as the central point of contact between board members, the executive team, and key stakeholders, ensuring timely and professional communication.
  • Follow-up on action items, project deadlines and provide status update as directed by the committee.
  • Governance Support: Track board member terms, committee assignments, attendance, and compliance with GHRA’s cooperative governance policies.
  • Board Onboarding & Orientation: Support the onboarding of new board members by providing orientation materials, cooperative history, and training resources.
  • Confidentiality & Integrity: Handle all sensitive board matters with the highest level of confidentiality and professionalism.
  • Support to BOD: Provide administrative support to the Board as needed, including scheduling, document preparation, and special projects.
  • Performs other duties as assigned or requested

Qualifications

Experience and Skills:

  • 3+ years of experience in an administrative or executive support role, ideally supporting boards or senior leadership in a nonprofit or cooperative environment
  • Familiarity with cooperative governance principles or nonprofit board structures
  • Strong proficiency in Microsoft Office, Google Workspace, and virtual meeting platforms (Zoom, Teams)
  • Excellent written and verbal communication skills
  • Highly organized with attention to detail and the ability to manage multiple priorities
  • Commitment to the values of GHRA, including service to members, community impact, and ethical standards
  • Fluent in English
  • Fluent in Urdu/Hindi preferred.

Educational Requirements:

  • Bachelor degree in Business administration is preferred.
  • High School Diploma or equivalent

Physical Requirements:

  • May be standing or sitting for extend period of times
  • Extended period of time working in front of computer monitor
  • Some days of prolonged walking
  • Require occasional evening or weekend availability to support board meetings and events.
  • Minimal travel may be required for off-site meetings or retreats.

General Summary:

Reports to the MSR Supervisor

Primary Responsibility:

Complete quarterly survey forms to make sure stores are in compliance to receive all rebate funding available from vendors/manufacturers.  Each MSR will monitor our member’s outlets participation of programs on a monthly-basis and take appropriate action to keep stores within terms of agreed upon contracts/programs, while encouraging them to participate in additional programs/promotions from Warehouse.   

Essential Functions:

  • Achieve and/or exceed strategic sales growth metrics using surveys for compliance and participation.
  • Responsible for managing time to cover all assigned stores within the prescribed deadlines.
  • Communicate on an agreed upon frequency with members through phone calls, store visits, and emails.  Communicate all required paperwork to GHRA on in a complete manner and on a timely basis.
  • Ensure GHRA stores execute promotional activity and merchandising requirements per GHRA Corporate and Warehouse retail agreements.
  • Execute required surveys accurately & efficiently.
  • Work in tandem with Field Consultant to be consulting with our members ensuring we are providing all the program services and value promised.
  • Inspecting and ensuring all the member requirements are being satisfied for GHRA programs and agreed upon merchandising planograms.
  • Ensure that GHRA merchandise is labeled, fronted, priced, stocked, and rotated appropriately
  • This individual should possess strong organizational skills, time management, and customer engagement skills.

Qualifications

Experience and Skills:

  • 21+ years of age.
  • 2+ years of sales and/or customer service experience in convenience store/CPG industries
  • Proficient in Microsoft Office (Excel, Word, PowerPoint, Outlook)
  • Flexible schedule; able to travel as required.
  • Valid driver’s license and good driving record
  • Candidates must pass a background check, drug screen and other job requirements.
  • Excellent planning and organizational skills
  • Good communications skills

Educational Requirements:

  • High school diploma or GED, bachelor’s degree preferred

 Physical Requirements:

  • May be driving, standing, or sitting for extend period
  • Able to lift, carry, and lower totes weighing up to 50 pounds.

General Summary:

Reports to the VP of Retail 

The Field Services supervisor plans, organizes, manages, and provides direction to the Member Services Representatives as it relates to our short-range and long term executional objectives both corporately and through the warehouse and distribution center.   The Member Services Supervisor plans the Member Services Representative daily functions including, territories, routing, daily issues, reporting, daily recaps, training and maintenance of field representative equipment, including automobiles, telephones, TABS and more. Performs other project and duties as assigned.  All duties are performed in accordance with GHRA policies and procedures.

Primary Responsibility:

Manage and assist the Member Services Representatives with the ability to identify needs and provide solutions to members for those needs. Manage the Day to day Activities of the Member Services representatives. 

Essential Functions:

  • Insure that member stores execute promotions and merchandising strategy as set by GHRA
  • Monitor Supply partner agreement execution levels for compliance
  • Evaluate and report supply partner and store performance information used to improve the partnership and achieve GHRA goals and objectives thru Field representatives
  • Serve as a conduit for information between GHRA management, field representatives and Members
  • Perform “On Boarding” of new members in a professional manner; transition members to GHRA’s marketing strategies quickly and efficiently
  • Coordinate store resets with GHRA members, Supply partners and the GHRA warehouse and Distribution center reset teams
  • Maintains all company equipment and material in good working order and condition
  • Responsible primarily for the compilation of data as requested by the Member Services Manager

Qualifications

Experience and Skills:

  • Two to three years Convenience store experience desirable
  • Must be a self-starter and be able to work independently
  • Clean driving record with current Texas Driver’s License
  • Solve non-compliance issues
  • Identify merchandising solutions to increase sales
  • Educate member employees on GHRA program requirements
  • Identify opportunities to regain Member confidence

Educational Requirements:

Primary Responsibility:

Maintains a high level of customer satisfaction through timely and accurate deliveries. Ensures proper product returns and accurate invoicing. Ensures deliveries are in accordance with the Department of Transportation (DOT) regulations. 

 

Essential Functions:

  • Responsible for the transportation of products  to customer locations
  • Unloads, stages and verifies products properly at customer locations  
  • Ensures proper documentation of all returns 
  • Delivers all returned product and empty totes back to the warehouse daily
  • Accountable for all assigned company assets 
    • Truck equipment/inventory 
    • Service and appearance 
    • Record retention and maintenance requirements 
  • Follows all operational and quality control procedures
  • Maintains all government requirements 
  • Performs all other duties as assigned

General Summary:
Reports to Floor Supervisor
Accountable for replenishment and upholding the quality and standards of goods in the store.


Primary Responsibility:
Responsible for the flow of merchandise from the point of delivery to the sales floor or internal destination. Also responsible for unpacking, processing, organizing, and storing merchandise. Ensures that products are easily accessible, visually appealing, and constantly available.


Essential Functions:
• Enhances the brand image of both the products and the store, and positively impact the customer experience
• Ensures that all items are stocked and area is ready for customers to shop
• Ensures that warehouse is clean and safe to shop
• Sorts grocery items and assigns them with relevant labels and price tags
• Stacks goods in an organized manner in the store shelves
• Maintains replenishment of products in a timely manner
• Keeps products rotated and maintains product quality
• Ensures perishable goods are stored at the appropriate temperature
• Maintains regular inventory counts.

Accountable for selecting items for customers’ orders in a timely and accurate manner.

Primary Responsibility:

Selects and picks each item in accordance with standard procedures. Places selected items in assigned loading areas. Ensures a safe and clean work environment to prevent injuries.

  • Transfers electronically selected orders into distribution bins

  • Moves merchandise from selection area to loading area
  • Responsible for meeting company standards for productivity

General Summary:

Reports to Inventory Supervisor

Accountable for the fluid movement of pallets and products received in a safe and accurate manner.

Primary Responsibility:

Responsible for operating a forklift to move, locate, relocate, stack, count merchandise and to create pallet modules. Accountable for the safe and efficient operation of the vehicle and may also be required to perform Order Filler and Checker duties.

Essential Functions:

  • Unloads inbound shipments safely
  • Moves product to storage locations
  • Efficiently stack and store the merchandise in the appropriate areas
  • Ensures inbound and outbound shipments are accurate and free of damage
  • Pulls and prepares product for shipment, ensuring that the exact number and type of product is loaded and shipped
  • Loads, unloads, moves, stacks, and stages product and materials using a forklift
  • Maintains the facility’s equipment and materials in a neat, clean, and orderly fashion
  • Inspects and performs minor maintenance on the forklift or other equipment
  • Operates all equipment in a safe and efficient manner following prescribed work methods
  • Keeps appropriate records and reports to guarantee that tight inventory controls and security is maintained
  • Assists in physical inventories and ensures proper stock rotation
  • Maintains a clean, neat, and orderly work area
  •  Complies with OSHA and MSDS Standards
